1. Scope and responsible organization

This policy describes personal information handled through the TEDxMontereyPark website, speaker application, event communications, and event registration. It does not replace the separate privacy policies of websites or services that we link to.

In this policy, “TEDxMontereyPark,” “we,” “us,” and “our” mean the TEDxMontereyPark event team responsible for operating the licensed event.

2. Services used by this website

Ticket purchases are completed on Eventbrite. When you follow a ticket link, Eventbrite processes registration, payment, device, and technical information under Eventbrite's Privacy Policy.

Speaker applications are not currently collected through this website. Responses submitted during the prior application period were processed through Google Forms and made available to the TEDxMontereyPark event team under Google's Privacy Policy.

The website stores a light or dark theme preference in your browser's local storage when you use the theme control. That preference is not sent to us. The website code does not currently include analytics or advertising pixels.

3. Information we may handle

We may handle the categories below when you use the website, apply to speak, contact us, or register for the event.

Category Examples Primary purpose

Optional accessibility information Accommodation or communication needs a person chooses to share Arrange requested access support and event services

Only enter payment card details on Eventbrite or its authorized payment provider. TEDxMontereyPark does not receive complete card numbers or security codes.

4. How we use information

Run the event

Review applications, communicate decisions, organize coaching and rehearsals, manage registration, provide access support, and deliver event updates.

Keep people and systems safe

Prevent spam or misuse, maintain website security, investigate incidents, and protect the rights and safety of attendees, speakers, volunteers, and the public.

Meet operational and legal needs

Keep appropriate records, process refunds, resolve disputes, respond to lawful requests, and comply with tax, accounting, insurance, and other obligations.

Improve the experience

Understand which event information is useful and improve the website, forms, communications, and future events using appropriately limited data.

We will not use personal information for a materially different purpose without providing an updated notice and obtaining consent when required.

5. When information may be disclosed

We limit access to people and organizations that need information for the purposes described in this policy.

  • Authorized event team members. Organizers, curators, speaker coaches, production leads, and other authorized volunteers may access information needed for their assigned work.
  • Google Forms. Google processes speaker application responses and related technical information. Authorized event team members may access responses through the organizer's Google account.
  • Other service providers. Hosting, email, file storage, security, analytics, and similar providers may process information for us under their terms and applicable agreements.
  • Eventbrite. Eventbrite processes registration and payment information. Eventbrite may act for the organizer in providing ticket services and may also process information for its own purposes under its privacy policy.
  • Legal and safety disclosures. We may disclose information when reasonably necessary to comply with law, respond to legal process, investigate fraud or security incidents, or protect rights and safety.
  • Organizational changes. Information may transfer to a successor event operator if responsibility for the event changes, subject to applicable law and this policy.

Speaker information that may become public

An application is not public. If a speaker is selected, we may publish information such as the speaker's name, biography, photograph, proposed or final talk title, and event participation after completing the applicable review and permission process. Recorded talks and event media may remain publicly available under the agreements presented to selected speakers.

6. Cookies, local storage, and online tracking

The website uses local storage to remember a visitor's light or dark theme choice. The site code does not currently place analytics or advertising cookies.

Eventbrite, Google Forms, and other linked providers may use their own cookies and similar technologies when you use their services. Their notices govern their independent practices. If TEDxMontereyPark later adds analytics or other non-essential technologies, we will update this policy and add any required consent controls before enabling them.

Do Not Track and Global Privacy Control

Because the current website does not track visitors across third-party websites, it does not change its behavior in response to a browser's Do Not Track setting. We do not sell personal information or share it for cross-context behavioral advertising, so a Global Privacy Control signal does not change the current processing. We will revisit this statement before enabling any technology that could create a different obligation.

7. Retention and security

We keep personal information only as long as reasonably necessary for the purpose described, to satisfy legal or accounting obligations, to resolve disputes, or to enforce agreements. Retention follows these criteria:

  • Speaker application records remain only as long as needed for selection, coaching, event administration, and related follow-up. Future-event contact requires a separate choice.
  • Ticket and transaction records remain as required for admission, refunds, accounting, tax, fraud prevention, and dispute handling.
  • Inquiry and subscription records remain until the request is resolved, the person unsubscribes, or the information is no longer needed.
  • Technical logs remain for the shortest practical period consistent with reliable hosting and security.

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No method of storage or transmission is completely secure. We limit application access to trained people, use organization-controlled accounts with multi-factor authentication where available, and remove access when a role ends.

8. Your choices and privacy rights

You may ask us to access, correct, or delete personal information associated with you. You may also unsubscribe from optional email messages or withdraw an optional consent. We respond to reasonable requests subject to identity verification and legal exceptions.

We may retain information when necessary to complete a transaction, meet a legal obligation, protect security, resolve a dispute, or exercise another right allowed by law. We will explain the reason if we cannot complete a request.

Depending on where you live and which laws apply, you may have additional rights concerning your personal information. Contact us to make a request.

We do not sell personal information or share it for cross-context behavioral advertising. For that reason, this policy does not include a “Do Not Sell or Share My Personal Information” request link.

9. Information about minors

The general website is not directed to children under 13, and we do not intend to knowingly collect their personal information through the website without the permission required by law. A person under 13 should not submit an application without a parent or guardian working directly with the event team.

If you are under 18, please involve a parent or guardian before submitting an application. We will obtain any consent required by law before collecting additional information, signing participation or recording agreements, or publishing a minor's information.

If you believe a child provided personal information without appropriate permission, contact us so we can review and delete it when required.

10. Visitors outside the United States

TEDxMontereyPark is a California event. Information may be processed and stored in the United States, where privacy laws may differ from those in another country.

11. Changes to this policy

We will post revisions on this page and update the date above. If a change materially affects how previously collected information is used, we will provide additional notice by an appropriate method, such as email or a prominent website notice, and request consent when required.

12. Contact us

Send privacy questions and requests to the contact below. We may ask for enough information to verify identity before acting on a request, but we will not ask for unrelated sensitive information.
